Softr pricing worked out for a 20-client portal and a 200-member community

Softr pricing, checked on softr.io in October 2026: the four plans, how team and client users are counted, and the real monthly cost of two common projects, a 20-client portal and a 200-member community.

Softr pricing worked out for a 20-client portal and a 200-member community

Softr pricing on monthly billing is $25 a month for Basic, $119 for Pro and $395 for Business, and billed yearly those drop to $19, $99 and $329 a month. There is a Free plan, and Enterprise is quoted. The sticker price is rarely what decides your bill, though. The number of people who log in to your app is. These figures come from softr.io/pricing, checked Oct 2026, and exclude tax, which Softr adds at checkout.

  • Free, $0: up to 3 builders, 5 app users, 5,000 database records, 500 workflow actions a month, 5 AI credits a month. Unlimited apps, databases, workflows, agents and forms. No custom domain.
  • Basic, $25 a month or $19 billed yearly: 1 builder, 5 team users plus 5 client users, 50,000 records, 2,500 workflow actions, 10 AI credits. Adds a custom domain, conditional form logic and automated database backup.
  • Pro, $119 a month or $99 billed yearly: 2 builders, 10 team plus 50 client users, 500,000 records, 10,000 workflow actions, 50 AI credits. Removes Softr branding and adds passcode and Google sign-in for app users, granular permissions, comments, custom code and API connectors.
  • Business, $395 a month or $329 billed yearly: 3 builders, 30 team plus 100 client users, 1 million records, 25,000 workflow actions, 100 AI credits. Adds two-factor sign-in, domain-restricted sign-up, global data restrictions, an installable PWA, push notifications and priority onboarding.

Team users versus client users

Softr sorts everyone who signs in to your app into two buckets. Team users share an email domain with a builder in your workspace, so if you build from you@agency.com, colleagues on agency.com are team users. Everyone else is a client user, and Softr counts every free address such as Gmail as a client even if that person works for you. Builders, the people who edit in Softr Studio, are a third count and can be added as app users without using your allowance.

Two rules soften this. Softr counts unique emails across all your published apps, so one client using three of your apps is one user. Deactivated users are not counted. If your contractors use personal Gmail accounts, ask them to use a company address before you launch, or they will eat into the client allowance.

Worked example one, a portal for 20 clients

An agency with 6 staff on its own domain and 20 clients wants a portal where each client sees only their own projects and files. Two staff will edit the app.

  • Free: 5 app users in total. Out.
  • Basic: 5 team and 5 client users. Six staff and twenty clients do not fit, and Basic lacks Google sign-in and granular permissions anyway. Out.
  • Pro: 10 team and 50 client users, 2 builders included. Six staff and twenty clients fit, with room for 30 more clients.
  • Cost: $119 a month, or $99 a month billed yearly, which is $1,188 a year against $1,428 on monthly billing. Yearly saves $240.

Add a second custom domain for a sister brand and it is $15 a month more, or $13 billed yearly. Add a third editor and Softr's yearly-billed rate on Pro is $10 a month per extra builder.

Worked example two, a 200-member community

Now a paid newsletter wants a members-only resource library for 200 readers, all on personal email addresses, with one person building it. Every member is a client user, and that changes the picture.

  • Pro includes 50 client users, so 150 more are needed. Softr lists extra app users on Pro as starting at $1 a month, which puts the floor at about $99 plus $150, or $249 a month billed yearly, before any tiering.
  • Business includes 100 client users, so 100 more are needed, starting at $2 a month each. The floor is about $329 plus $200, or $529 a month billed yearly.
  • Pro is cheaper on paper, but Softr caps how many users you can add on each plan, so check its user calculator before you commit.

The lesson is that per-user pricing suits portals with a known, small audience and gets expensive for anything that grows by sign-ups. If you expect hundreds of members, price a tool that does not charge per login alongside Softr.

Records, workflow actions and AI credits

Three smaller meters sit under every plan. Records only count if you use Softr's own database: 5,000 on Free up to 1 million on Business. If your data stays in Airtable or Sheets, those tools' own limits apply instead, and their subscription is extra. Workflow actions cover automations, from 500 a month on Free to 25,000 on Business. Triggers and flow controls do not count, and when you hit the cap, workflows pause until the month renews.

AI credits power the AI co-builder and AI features inside your apps: 5, 10, 50 and 100 a month by plan. Plan credits reset monthly and do not roll over. Add-on credits can be bought on any plan, Free included, and roll over for one month. Running out does not stop you building, because the block editor works without AI.

What the Free plan is really for

Free is genuinely free and permanent, with unlimited apps and databases. Five app users and no custom domain make it a sandbox, though: enough to build the whole portal and test it with two or three friendly clients, then upgrade on the day you invite the rest. Softr also gives every new account a trial of the paid features without a card, and nonprofits and education get 50% off.

When flat pricing beats per-user pricing

Softr's model is fair for the 20-client portal: $99 a month buys sign-in, permissions and hosting with no code. For the 200-member library it starts to hurt. The alternatives price differently. Glide counts credits, published apps and team members (see the Glide review). VibeDream charges a flat plan with no per-user fee: All Access Mini is $49 a month with 60 credits and 3 active projects, All Access is $97 with 150 credits and 5 projects. Credits go on building with the AI, and each publish or update costs 5 credits, with hosting included.

The honest catch is that Softr's member groups and permissions work on day one. VibeDream's built-in login sets up member sign-in with one tap, but you ask the AI for the permission rules. If logins are the whole product, Softr is the faster path. If the app's value is custom logic, or the audience will grow past a few hundred, compare the two over a year. Our Softr alternatives guide sorts the options by where your data lives.

  • Building and testing with a handful of people: Free.
  • A small internal app on your own domain for up to 5 colleagues: Basic.
  • A client portal for up to 50 outside users: Pro, billed yearly once you are sure.
  • Over 100 outside users, or needing two-factor sign-in and a PWA: Business, after checking the user calculator.
